School Secretary

George Stevens Academy, an independent town academy in Blue Hill, Maine, is seeking a highly organized, detail-oriented, and personable School Secretary to join our school community.

The School Secretary serves as the primary receptionist for the school, welcoming visitors, answering and directing phone calls, and providing administrative support that helps ensure the smooth daily operation of the Academy. The successful candidate will possess strong computer, organizational, communication, and interpersonal skills, along with the ability to manage multiple responsibilities in a fast-paced educational environment.

Responsibilities Include:

Acting as the primary point of contact for the school through phone calls, emails, and visitors, demonstrating professionalism, positivity, confidentiality, and diplomacy at all times.

Serving as the School Secretary, maintaining accurate attendance records and communicating with families regarding attendance concerns, absences, and truancy requirements.

Preparing, maintaining, and accurately managing a variety of student data, records, and reports related to attendance, discipline, health, enrollment, and assigned activities.

Assisting administrators with scheduling meetings, appointments, events, and school activities.

Supporting communication between families, students, staff, and community members by distributing correspondence, notices, and school-wide communications.

Ordering, organizing, and maintaining office supplies and equipment inventories

Preparing reports and documentation for state reporting requirements, including NEO submissions, Maine private school approval processes, and federal reporting requirements.

Supporting compliance efforts related to state regulations, federal requirements, and accreditation processes, including NEASC documentation and reporting.

Administering and maintaining records for the National School Lunch and Breakfast Program, including eligibility documentation, reporting, and program compliance.
